Connect Application - On Premise / Hybrid / MSP Journaling

Customers currently using the Connect Application are advised to complete their onboarding setup as soon as possible, as the Connect Application is scheduled to be discontinued on the 31st of January, 2024.

This article contains information on configuring Mimecast journaling with Exchange 2013, detailing steps for setting up external contacts, send connectors, and enabling standard and premium journaling to archive emails effectively.

  • New clients are connecting with Mimecast using the Connect Application and Exchange 2013.
  • Customers use Mimecast for archiving their messages.

 

Walkthrough

Mimecast automatically archives all inbound and outbound emails. It can also be configured to archive internal emails between users using Journaling.

When using the Connect Application to set up your journaling on an On-Premises or Hybrid infrastructure, you'll need to configure your Exchange to work with Mimecast manually. The Connect Application creates a default journal connector on your Mimecast account, including the following internal journal domain and journal address:

  • Journal Domain: journal.domain.com (where domain.com is the domain your organization provided as your primary mail domain).
  • Journal Address: journaling@journal.domain.com. This address must be the mail attribute for the external contact you create in your Exchange to deliver journal messages.
Note: Should you want to add a journal connector, you'll need to do so manually, ensuring you use the above journal domain and address.

 

Configuring an External Contact in Exchange 2013

You'll need to create an external SMTP contact in Exchange 2013 using the following format: journaling@journal.domain.com (where "domain.com" is your primary SMTP domain)./p>

Log on to your Microsoft Exchange 2013 environment to create the external SMTP contact. The Exchange Admin Center (EAC) is displayed.

  1. Click on the Recipients menu item.
  2. Click on the Contacts sub-menu item.
  3. Click on the + icon.
  4. Click on the Mail Contact menu item. The New Mail Contact dialog is displayed.



  5. Complete the dialog as follows:
    Note: For full details on how to create a contact in Microsoft Exchange 2013, read the Manage Email Contacts page in the Microsoft Exchange help file.
    Field / Option Description
    First Name Enter the first name of the external contact (e.g. SMTP).
    Initials This field can be left blank.
    Last Name Enter the last name of the external contact (e.g., Journaling).
    Display Name Enter the values of the "First Name" and "Last Name" fields (e.g. SMTP Journaling).
    Name Enter the values of the "First Name" and "Last Name" fields (e.g. SMTP Journaling).
    Alias Enter an alias for the external contact (e.g., Journaling).
    External Email Address Enter the journaling address created by the Connect Application (e.g., journaling@journal.domain.com).
    Organizational Unit This field displays the path to the user's directory. If required, click the Browse button to select the required Organization Unit.
  6. Click the Save button.

 

Configuring the Exchange 2013 Send Connector

You'll need to configure the Exchange 2013 Send Connector in the 2013 Exchange environment. This connector will be used to route the Exchange journaling messages through to your Mimecast account.

To configure the Exchange 2013 Send Connector, log on to your Microsoft Exchange 2013 environment. The Exchange Admin Center (EAC) is displayed.

  1. Click on the Mail Flow menu item.
  2. Click on the Send Connectors sub-menu item.
  3. Click on the + icon. The New Send Connector dialog is displayed.

  4. Complete the dialog as follows:
    Note: For full details on creating a contact in Microsoft Exchange 2013, read the Create a Send Connector page in the Microsoft Exchange help file.
    Field / Option Description
    Name Enter a name for the Connector (e.g., Journal Send Connector to Mimecast).
    Type Select the "Custom" option.
  5. Click the Next button to complete the network settings.
  6. Select the Route Mail Through Smart Hosts option in the Network Settings section.
  7. Click the + icon. The Add Smart Host dialog is displayed.
  8. Enter the Primary and Secondary Smart Hosts.
    Note: The Connect Application will list hostnames to use according to your region.
  9. Click the Save button to return to the New Send Connector dialog.
  10. Click the Next button to specify the smart host authentication.
  11. Select the None option in the Smart Host Authentication section.
  12. Click the Next button to specify the address space (domain) the connector should route mail through.
  13. Click the + icon. The Add Domain dialog is displayed.
  14. Complete the dialog as follows:
    Field / Option Description
    Type Specify a value of SMTP.
    Fully Qualified Domain Name (FQDN) Specify your journal email domain (e.g., journal.domain.com).
    Cost Specify a value of 1.
  15. Click the Save button to return to the New Send Connector dialog with the displayed address space (domain).

  16. Click the Next button to specify the transport server(s) associated with this connector.
  17. Click the + icon.
  18. Select the Transport Server(s) that will associate with this connector.
  19. Click the Add button.
  20. When all the required server(s) are selected, click the OK button.
    Note: If running an environment with Edge Transport Servers, you must push the Send Connector to Edge Transport Servers. Read the "Configure Internet mail flow through an Edge Transport server without using EdgeSync: Exchange 2013 Help" page on the Microsoft website for complete details.
  21. Click the Finish button.
Note: Check the Send Connector's properties to ensure no size limits are set. By default, a 10 MB size limit is set on the connector. This can cause larger messages to build up in your queues.

Enabling Exchange 2013 Standard Journaling

If you need to enable journaling from the Exchange 2013 environment. This section covers standard journaling. See the "Enabling Exchange 2013 Premium Journaling" section below for premium journaling.

Note: Standard journaling is allowed using the default Microsoft client access licenses.

To enable standard journaling in Exchange 2013:

  1. Click on the Servers menu item.
  2. Click on the Databases sub-menu item.
  3. Click on a Database in the list.

  4. Click the icon. The Database Properties dialog is displayed.
  5. Click the Maintenance menu item.
  6. Click the Browse button to enable you to select the external contact.

  7. Select the external Mail Contact.
  8. Click the OK button.
  9. Click the Save button.
  10. Repeat steps 3 to 9 for any other mailbox databases.
Note: Public folder databases cannot be journal-enabled.

 

Enabling Exchange 2013 Premium Journaling

Lastly, you'll need to enable journaling from the Exchange 2013 environment. This section covers premium journaling. See the "Enabling Exchange 2013 Standard Journaling" section above for standard journaling.

Note: Premium journaling requires Microsoft's enterprise client access licenses.

To enable premium journaling in Exchange 2013:

  1. Click on the Compliance Management menu item.
  2. Click on the Journal Rules sub-menu item.
  3. Click the + icon to create a journal rule.

  4. Complete the rule dialog as follows:
    Field / Option Description
    Send Journal Reports To Specify the journaling email address provided to you by the Connect Application (e.g., journaling@journal.domain.com
    Name Specify the value of "Mimecast Journaling."
    If the message is sent to or received from... Select the "[Apply to all messages]" option.
    Journal the following messages... Select the "All messages" option.
  5. Click the Save button.
