Notification Sets - Customizing Email Notifications

This article contains information on customizing email notifications in Mimecast, including steps to configure branding, notification sets, policies, and digest notifications, as well as guidelines for modifying HTML tags and retaining required Mimecast variables.

An email notification is a message sent to a user to alert them of actions that were taken on a message they sent. For example, it has been:

  • Bounced.
  • Held.
  • Modified (e.g. attachments were stripped).

We allow you to customize email notifications so that they can be:

  • Sent from a specific email address.
  • Sent with a specific subject.
  • Applied in different ways to different user groups.

Walkthrough

To customize a notification:

  1. Create a Branding Set. See the Stationery - Branding page for full details.
  2. Create a Notification Set Definition ensuring the Branding Set is selected in the "Branding" option. See the Configuring Notification Sets Definitions and Policies page for full details.
  3. Create a Notification Set Policy ensuring the Notification Set Definition is selected in the "Select Notification Set" option. See the Configuring Notification Sets Definitions and Policies page for full details.

Customizing Email Notifications

When amending notification sets, do not change any Mimecast variables, as each branding set relies on these. For example, you must retain the:

  • [emaillist] component when altering Message Hold Digest notification.
  • [downloadurl] component when altering Attachment Link notification.

Customizing Digest Notifications

In addition to the standard changes available to notifications (e.g. senders address, subject) changes to the default digest can be made to customize the output for your environment. This includes:

  • Basic usage guidelines which are provided to instruct end users on how to use the digest.
  • A link to a Knowledge Base article aimed at end users, and explaining how to manage a Digest.
  • Customizing the table column headers in the list of emails on hold.
  • Amending the font size.

In the list of emails on hold, the following HTML column heading tags can be amended, removed, or the column order changed. This can be used to make these headings more familiar or descriptive for your end users:

HTML Tag Description
From [digestfrom] Displays the external sender of the message.
Subject [digestsubject] Displays the message subject.
Date [digestdate] Displays the date the message was sent.
Reason [digestreasontext] Displays the reason the message was held by Mimecast. This can include the policy name configured to scan messages for spam content.
Release [digestreleaseurl] Displays a link to release the held message to the recipient's inbox.
Release All [digestreleaseallurl] Displays a link to release all the held messages to the recipient's inbox.
Block [digestblockurl] Displays a link to reject the held message, and add the sender to the user's personal block list.
Block All [digestblockallurl] Displays a link to reject all the held messages, and add the senders to the user's personal block list.
Allow [digestwhiteurl] Displays a link to release the held message to the recipient's inbox, and add the sender to the user's personal permit list.
Allow All [digestpermitallurl] Displays a link to release all the held messages to the recipient's inbox, and add the senders to the user's personal permit list.
