Secure Messaging - End User Applications

This page provides an overview of Secure Messaging as it relates to End User Applications.

Enabling Secure Messaging 

End users may not be aware of admin-defined policies, but still want to send a Secure Message to ensure they are following your corporate security practices. A primary feature of Secure Messaging is the ability for end users to initiate a secure conversation without intervention from the IT team. This is achieved using Mimecast for Outlook, Mimecast for Mac, or the Mimecast Personal Portal. The following information describes the steps required to enable this feature.

Prerequisites

  • A Mimecast admin account with permission to the Users & Groups | Applications menu.
  • At least one Secure Messaging definition. See Secure Messaging - Definitions & Policies.
  • Optionally, the group of users you would like to enable this feature for.
  • Mimecast for Outlook, Mimecast for Mac, Mimecast MobileMimecast Personal Portal, or any combination of the applications, deployed and available to your users.

Who Should Have Access?

Before configuring this feature, you must decide which of your users will have access to the feature:

  • End-user features are enabled and disabled using Mimecast Application Settings. These settings are applied to groups of users, giving you a high level of flexibility when deciding which users should access which features.
  • If all of your users should have access to the same features, the simplest configuration will be to edit the Default Application Settings.
  • However, if different users should have access to different features, then you will need to know which group of users you will be enabling this feature for and create a custom Application Setting applied to your selected group.

The Default Application Settings are pre-configured Application Settings that apply to all users, unless a user is explicitly included in a group with a custom Application Setting applied.

Configuring Access

You can configure access to Secure Messaging by using the following steps:

  1. Log in to the Mimecast Administration Console.
  2. Navigate to Users & Groups | Applications.
  3. Depending on who will have access to Secure Messaging, either click on Default Application Settings (all users) or click New Application Settings (selected group of users), to launch the Application Settings configuration screen.

Your organization may already have Application Settings defined for groups of users; in this case, click the relevant Application Settings for the group for which you want to enable Secure Messaging.

  1. If applicable, use the Lookup buttons to select the group and Authentication Profile for the Application Settings to which it should apply.
  2. Secure Messaging is enabled in the Gateway Functions section in the Common Application Settings accordion:
    • Ensure that Send As Secure Message is selected.
    • Use the Lookup button to select the Secure Messaging definition folder you created.
  1. Optionally make further edits to the Application Settings for other features and then click Save and Exit to apply the configuration.

Once saved, the Secure Messaging definitions in the folder you selected will be available for the end users that the Application Settings apply to, via Mimecast for Outlook, Mimecast for Mac, or the Mimecast Personal Portal. Note that changes to your Application Settings can take up to 15 minutes to be reflected in the client application. You will also need to restart the application to see the effects of the change.

Sending a Secure Messaging -Lite Message

Below is information on sending a Secure Message using the Secure Message - Lite option, which applies to End Users who would like to send a secure message using any of Mimecast's End User Applications.

Your administrator can create Content Examination or Secure Delivery policies to automatically create secure messages based on their content. This is described in more depth in the Definitions & Policies page.

Mimecast for Outlook

You can send a Secure Messaging - Lite message using Mimecast for Outlook, by using the following steps:

  1. Compose a new message, completing the recipients, subject, and body as required.
  2. Click the Mimecast ribbon.
  3. Click the Send Securely icon.

Secure Messaging Lite Sending a Secure Message

  1. Click the Closed Circuit Messaging definition from the drop-down list.
  2. Click the Send button.

Mimecast for Mac Application

You can send a Secure Messaging - Lite message using Mimecast for Mac, by using the following steps:

  1. Compose a new message completing the recipients, subject, and body as required.
  2. Click on the Secure Messaging button found on the main ribbon.

  1. Select one of the listed Secure Messaging Definitions.
  2. Click on the Send button.

Mimecast Mobile

You can send a Secure Messaging - Lite message using Mimecast Mobile, by using the following steps:

  1. Compose a new message, completing the recipients, subject, and body as required.
  2. Select the Settings icon.
  3. Select the Send Secure icon.
  4. Select one of the Secure Messaging Definitions. The Settings icon has a number added to it.
  5. Click the Send button.

Mimecast Personal Portal

You can send a Secure Messaging - Lite message using the Mimecast Personal Portal by using the following steps:

  1. Compose a new message completing the recipients, subject, and body as required.
  2. Click the Send Using Mimecast Secure Messaging icon.

  1. Click on an option in the Secure Messaging Options dialog:
Field / Option Description
All Recipients The message is sent securely to all the recipients specified in the "To" field, regardless of whether they are internal or external to your company.
External Recipients The message is sent securely to only external recipients specified in the "To" field. Any internal recipients will receive a normal message to their inbox.
  1. Click on the OK button to send the message. You'll see a notification bar confirming your action.
