Engage - Company Wide Training Details

This article describes how to access detailed information about specific Company Wide Training, and is intended for Administrators.

The Company Wide Training detail differs from the dashboard, which contains similar information but relates to a specific module.
For further information on Training Module statuses, and how this affects the actions that are available, see Scheduling Training Modules.

Accessing the Company Wide Training Detail

The module detail displays different information depending on whether the start date has been launched. The status also controls what you can do with the detail displayed.

You can access a module's details by using the following steps:

  1. Log on to Engage
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the Module's Image in the module queue.

Active Training Modules

With a scheduled module that has already started (i.e. the start date has been reached), you can:

  • Display the module's performance statistics. A percentage value is displayed of the number of:
    • Targeted users who've completed the module.
    • Correct responses to the employee question.
  • Compare your company's performance statistics against other companies in the same industry.
  • Change the email introducing the module. See  Changing a Module's Introductory Email.
  • Upload additional content to the module. See Uploading Custom Content.
  • View the animated GIF files displayed for correct and incorrect answers to the employee question. See Viewing / Changing Animated GIFs.
  • Play the module's video.
  • Display a module's question and correct answer.

Pending Modules

With a module that hasn't started (i.e., the start date is in the future), you can:

Changing a Module's Start Date

If a module hasn't started yet, you can change the start date by using the following steps:

  1. Log on to Engage.
  2. Navigate to 
  3. Training Queues | Company Wide Training.
  4. Click on the ellipsis "..." next to the module, and Edit Release Schedule. A calendar is displayed with the current start date selected.
  5. Select a new Start Date.

Editing a Module’s Correct Answer And Safety Tip

If a module hasn't started, you can edit the correct answer and safety tip. To ensure consistency across the platform to generate accurate data for our scoring system, we don't support full customization of queue module questions and answers. However, you can change the verbiage of the correct answer and safety tip to fit your company policies or values better. This feature is only supported in English.

You can edit the correct answer and safety tip by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Click Edit Correct Answer And Safety Tip.
  5. Click in the following fields and enter the required text:

This dropdown menu allows you to select the appropriate language. 

Only supported languages for the module will appear in the dropdown list.

  1. Click Update.
  • Clicking the Reset To Default button resets the answer and safety tip field content to their original default text.
  • Click Add Language for additional supported languages.

Changing a Module's Introductory Email

You can change a module's introductory email sent to users by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Either click on the:
    • View / Edit Email button in an active module.
    • Customize Email link in an inactive module.

  1. Click Edit Email. The email is displayed in a text editor.
  2. Change the email as required, including:
    • Adding images: See the "Adding / Editing Images" section below.
    • Adding link: See the "Adding Links" section below.
    • Text size, position, and formatting: See the "Changing the Text Size, Position, or Formatting" section below.
    • HTML/CSS: See the "Editing the HTML/CSS" section below.

The email must contain the [platformlink] variable to link to the required module. If this isn't present, you'll be unable to complete this step.

  1. Click Update.
  2. Click Close.

When editing an email, the Reset To Default button resets the text to its default state.

Adding / Editing Images

You can add an image to an introductory email by:

  • Uploading an image to the Engage platform.
  • Linking to an external image.

Upload an Image

You can upload an image to the Engage platform by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Either click on the:
    • View/Edit Email button in an active module.
    • Customize Email link in an inactive module.
  1. Position the cursor where the image is to be placed.
  2. Click the Insert Image button.
  3. Either:
    • Drag and drop the image into the dialog.
    • Use the Click Here to Browse link to select the required file.Either:
  1. Once the image has been added, you can change its properties using the steps for linking to an external image.

Link to an External Image

You can link to an external image by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Either click on the:
    • View/Edit Email button in an active module.
    • Customize Email link in an inactive module.
  1. Position the cursor where the image is to be placed.
  2. Click on the Mimecast Awareness Training_1_1 toolbar icon. The image's General properties are displayed:
  3. Complete the General tab as required:
    Field / Option Description
    Source Add an image's path. Ensure the path's accuracy to prevent issues.
    Alternative description Whilst not mandatory, it is best practice from an accessibility viewpoint to add an image description.
    Width Specify the width/height of the image. Values can be entered in pixels or as a percentage value (e.g., 75%). If the Mimecast Awareness Training_1_2 icon is displayed, changing the image's width or height changes the corresponding width or height by the same aspect ratio value.

    Click the icon to unlock the ratio aspect, allowing you to specify different ratio aspect values. The Mimecast Awareness Training_1_3 icon is displayed.

  4. Click on the Advanced tab and complete as required:
    Field / Option Description
    Style Displays the image's CSS parameters as the other Advanced fields/options are specified. You can manually enter your CSS parameters, but ensure its accuracy to prevent issues.
    Vertical space Specify the vertical/horizontal space in pixels to be added as margins around the image.
    Horizontal space
    Border width Specify the border width in pixels to be added to the image.
    Border style Select a border style from the drop-down list.
  5. Click Save.

Adding Links

You can add a link to text or an image in the introductory email by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Either click on the:
    • View/Edit Email button in an active module.
    • Customize Email link in an inactive module.
  1. Select the Content to be linked.
  2. Click on the Mimecast Awareness Training_1_4 toolbar icon.
  3. Complete the dialog as follows:
    Field / Option Description
    URL Specify the link's URL.
    Title Specify a title for the link.
    Open link In Specify if the link is to open in the Current Window or New Window.
  4. Click Save.

If you use externally hosted images from publicly hosted or internal websites, ensure that the URL contains https, not http
Secure email sanitization will remove images that are not sourced from a secure URL.

Changing the Text Size, Position, or Formatting

You change the introductory email's text size, position, or formatting by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Either click on the:
    • View/Edit Email button in an active module.
    • Customize Email link in an inactive module.
  1. Select the Text to be changed.
  2. Click on a Toolbar Icon to change the text's size, position, or formatting.
  3. To clear formatting added to Text, select the text to be changed and click on the Mimecast Awareness Training_1_5 toolbar icon.

Hover over an icon to display a tooltip of its functionality.

Editing the HTML / CSS

You can change the introductory email's HTML/CSS by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Either click on the:
    • View/Edit Email button in an active module.
    • Customize Email link in an inactive module.
  1. Click on the Mimecast Awareness Training_1_7 toolbar icon to display the HTML editor.
  2. Amend the HTML / CSS as required.
  3. Click Save to return to the WYSIWYG editor.
CSS Editor

If editing a template's CSS, only inline CSS is supported. The <style> HTML tag cannot be used.

Uploading Custom Content

You can upload additional content to form part of a module (e.g. your compliance policy) by using the following steps.
This requires you to have a PDF file ready to upload with a maximum size of 5 MB. This file is displayed at the end of the module, just before the user's badge.

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Either click on the:
    • Upload button in the Custom Content section of an active module.
    • Upload Additional Content links in an inactive module.
  1. Click Upload File.
  2. Drag and drop the PDF into the Upload File dialog. A preview of the content is displayed.
  3. Click on the Accept button to add the custom content page.

Once the custom content has been added, you can:

  • View File: View the custom content file.
  • Remove File: Remove the custom content file, and confirm its deletion.abc
File Actions

Viewing / Changing Animated GIFS

If a module is active, you can view the animated GIFs displayed following an employee answers the post-tutorial question. If the module isn't active, you can change the GIFs used.

You can access the animated GIFs on a module by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Either click on the:
    • View button in the GIFs section of the module's detail, in an active module, to view the GIF.
    • View / Edit GIFs button in the GIFs section of the module's detail, in an inactive module, to view the GIF.
      You can then change the animated GIF by:
      • Specifying the Image URLs to use for both the correct and incorrect responses. These must be consistent with the default URLs and publicly accessible from the Engage platform.
      • Clicking on the Update button.

Clicking the Reset button returns the values of both the correct and incorrect URLs to their default values.

Previewing a Module

If a module hasn't started, you can preview it from the end user's perspective. It leads you through all the steps, including any custom content that has been added.
Once you've completed all the steps, the preview ends, and you're returned to the module summary.

You can preview a module by using the following steps:

  1. Log on to Engage.
  2. Navigate to Training Queues | Company Wide Training.
  3. Click on the module.
  4. Click on the Preview User Experience link.
