Mimecast for Outlook - Exporting and Attaching Archived Files

Mimecast for Outlook Export from archive

You can select and export one or more messages from inside a folder to a Microsoft Outlook folder. This can be achieved from the:

  • Search results
  • Archive folders

You can export message(s), by using the following steps:

  1. Select the required messages.
  2. Click on the Export icon in the message's toolbar.
  3. Select the Microsoft Outlook folder to place the messages, by clicking the arrow to the left of your email address.
  4. Click on OK.
  5. A progress notification popup is displayed. This automatically closes when the export completes, and a notification popup is displayed.

Saving a Message to Outlook

You can save a message to Microsoft Outlook, without using the export feature. This method of getting messages from your archive folders into Microsoft Outlook differs in that you cannot select which folder messages are placed into.
All messages are placed into the Inbox | Mimecast Saved Emails folder. If this folder does not exist, it is automatically created as part of the save process.

You can save a message from the following views:

  • Search results
  • Archive folders
  • Online Inbox
  • Online Sent Items

You can save a message to Microsoft Outlook, by using the following steps:

  1. Select the required messages.
  2. Click the Save icon in the message's toolbar. A confirmation dialog is displayed once the messages have been saved.
  3. Click on OK to close the confirmation dialog.

Saving a Message's Attachment

You can save or open a message's attachment to a local / network drive, without exporting or saving the entire message.

You can save or open a message's attachment, by using the following steps:

  1. Select the Message.
  2. Click on the Details link in the message.
  3. Right-click on the required Attachment.
  4. Click on Save.
  5. Select the Folder to save the attachment.
  6. Click on OK. The file is saved to your chosen location.

Attaching Archived Files

File attachments can be added to a message from an archived folder.

You can add an attachment from the archive to a message, by using the following steps:

  1. Click on New Email to create a message as normal.
  2. Click on the Mimecast ribbon.
  3. Click on Attach From Archive. The Attach File From Archive dialog is displayed.abc

  4. Enter your Search Criteria to find the message containing the file you want to attach. Click on the  icon to limit the search to a specific attachment type.
  5. Press the Enter key, or click on the icon. A list of results is displayed.
  6. Either select:
    • A single message: This option allows you to:
      • View the message's details.
      • Click on the Preview button to display the attachment before attaching it to the message.
    • Multiple messages: This option:
      • Doesn't allow you to view the message detail or preview the attachments.
      • Adds all attachments in the archived message to your message. You cannot choose which attachments to add.
  1. Click on Attach. The file is attached to your message.
  2. Click on Send.

The search process looks for the search string in the message or attachments. If a message has multiple attachments, but only one of them has the search criteria in it, all the message's attachments are returned. It is impossible to indicate which attachments caused the message to be included in the search results.
