Mimecast for Outlook - Applying Document Conversion

This article contains information on applying Document Conversion and Strip & Link Attachments policies in Mimecast for Outlook, including steps to convert documents, strip attachments, and enhance email security and compliance.

If your administrator has configured a Document Services Definition and Policy, you can apply a document conversion profile to a message. This allows you to perform various actions on the message, including:

  • Converting documents to other file formats.
  • Replacing all attachments over 1 MB from a message and replace it with a notification. This is sent to the recipient and contains a link they can use to download the attachment from Mimecast.
  • Stripping revision information from documents, including:
    • Document properties.
    • Author credentials.
    • Tracked changes.
    • Comments.
    • Microsoft Visual Basic for Applications macros.

Document Conversion

You can apply a document conversion policy, by using the following steps:

  1. Open Microsoft for Outlook.
  2. Click on New Email to compose an email as normal.
  3. Click on the Mimecast tab.
  4. Click on Document Conversion. A list of document conversion policies is displayed.

The selected Document Service policy displays a tick in the left-hand column.

  1. Select the Document Conversion Policy you want to apply to the message.

The No Conversion option ensures no Document Services policies are applied to the message.

  1. Click on Send.

Attachment Strip and Link

You can strip out attachments, by using the following steps:

  1. Open Microsoft for Outlook.
  2. Click on New Email to compose an email as normal.
  3. Click on the Mimecast tab.
  4. Click on Strip & Link Attachments.
