Mimecast for Outlook - Secure Messages

This article contains information on using Secure Messaging in Mimecast for Outlook, including sending Secure Messages, managing them, viewing Secure Message details, extending expiry dates, and recalling messages for enhanced email security.

Introduction

You can send a message securely in Mimecast for Outlook using our Secure Messaging functionality.
This provides a user-friendly, secure channel for sending and receiving sensitive information via email with external recipients.

External recipients receive a notification inviting them to view the message in the Mimecast Secure Messaging Portal.
This means the message does not pass through the recipient's email server and can only be seen by the recipient.

Sending Secure Messages

When composing a Secure Message, you cannot use the "BCC" address field.

You can send a message securely, by using the following steps:

  1. Open Microsoft Outlook.
  2. Compose a Message as normal.
  3. Click on the Mimecast tab.
  4. Click on the Send Securely icon.
  5. Select the Secure Messaging Definition you'd like applied to the message. A notification is displayed below the ribbon that the message will be sent via Mimecast Secure Messaging.

  6. Click on Send. The message is sent to the recipient via the Secure Messaging Portal.

Managing Secure Messages

Multiple management tasks are available in your Microsoft Outlook client once a message has been sent using Mimecast Secure Messaging.

Viewing a Message's Secure Messaging Information

You can view a message's secure messaging information, by using the following steps:

  1. Open Microsoft Outlook.
  2. Open your Sent Items folder.

    Opening the message is an important factor, as the functionality below is unavailable in the Microsoft Outlook reading pane.

  3. Select and open the message sent via Mimecast's secure messaging.
  4. Click on the Secure Message Status Bar. Information about the message is displayed.

The message's information is displayed on the right-hand side. The Secure Messaging Definition used to send the message is displayed above a series of columns that contain the following information:

Icon / Column Description
Indicates if the recipient has read the message.
Indicates if the message is still active (i.e., not expired).
If you hover over the icon, a popup contains information about what the recipient can do with the message. For example:Secure Message information 
Expiry Date Displays the expiry date of the secure message.

Extending a Message's Expiry Date

You can extend a message's expiry date, by using the following steps:

  1. Follow the steps above to display a Secure Message's information.
  2. Click on Extend Expiry. The Extend Expiry Date dialog is displayed.

  1. Specify a New Expiry Date:
    Click the image.png icon to select a date from a calendar, or manually enter the required date.

  1. Click on Set Expiry Date.

Recalling a Message

You can recall a message, by using the following steps:

  1. Follow the steps above to display a Secure Message's information.
  2. Click on Recall Message.

  1. When a message is successfully recalled, the status of the Active column displays a different icon. Additionally, any expiry date set is removed. For example:
