Monitoring Sent Messages

This section describes how end users can retrieve information about a message's delivery. This enables them to confirm a message has been successfully delivered.

Displaying a Message's Delivery Receipt Status

The following does not apply to secure messages via our Secure Messaging functionality.

  1. Open your Mimecast for Outlook application.
  2. Click on your Online Sent Items folder.
  3. Click on a message.
  4. Click on the Delivery Receipts Status drop-down. A drop-down displays the name and email address of each recipient.

  1. Click on the Mimecast for Outlook Monitoring Sent Items icon for the recipient whose message details you want to view.
  2. Click on the Details menu item. The Delivery Receipt Status dialog is displayed.
  3. Alternatively, you can copy the details to your clipboard (if required) by clicking Copy Details to Clipboard from the Delivery Receipts Status dialog. A Copy Details to Clipboard button also appears within the message details dialog box, as shown in the below image.

To see if a message has been delivered to the recipient's mail server:

  1. Open your Mimecast for Outlook application.
  2. Click on your Online Sent Items folder.
  3. Click on a message. The message is displayed.
  4. Click on the Delivery Receipts Status drop-down. A drop-down displays the name and email address of each recipient.
  5. Click on the Mimecast for Outlook Monitoring Sent Items_2 icon. This indicates that the message has been successfully delivered to the recipient's mail server. It doesn't guarantee that the message has been delivered to the user. You can hover over the icon to display additional information (e.g. delivery method).

User Copies of Messages

This section outlines why end users may see messages they send in their Inbox. This applies where the Send BCC to Mail Server account setting is enabled.

When the account setting Send BCC to Mail Server is enabled, any message sent from a Mimecast application will also BCC the sender. This is because the message bypasses the email server; this allows end users to file the message in their sent items. To access the setting:

  1. Log in to the Administration Console.
  2. Navigate to the Account | Account Settings menu item.
  3. Expand the User Access and Permissions section.

End users will be added to the BCC field in the following scenarios:

  • When Mimecast for Outlook is in a Continuity event.
  • When Sending messages using:
    • Mimecast Personal Portal.
    • Mimecast Mobile.

Forwarding Messages

There are two methods of forwarding a message from inside Mimecast for Outlook; a standard forward or forwarding the message as an attachment. Which one you can use depends on whether you are forwarding one or multiple messages.

  • Forwarding a single message allows you to send it normally or as an attachment.
  • Forwarding a message as an attachment is available regardless of the number of messages forwarded. However, it is the only forward method available if forwarding multiple messages.

Forward a Message

To forward a message normally from Mimecast for Outlook:

  1. Select the required message.
  2. Click on the Forward button in the toolbar. A new message window is opened.
  3. Complete the message as required.
  4. Click on the Send button to send the message.

Forward a Message as an Attachment

To forward a message as an attachment from Mimecast for Outlook:

  1. Select the required message.
  2. Click on the Down Arrow to the right of the Forward button in the toolbar.
  3. Click on the Forward as Attachment menu item. A new message window is opened with the selected message as an attachment.
  4. Complete the message as required.
  5. Click on the Send button to send the message.

Forward Multiple Messages

To forward multiple messages from Mimecast for Outlook:

  1. Select the required messages. The number of selected messages is displayed.
  2. Click on the Forward button in the toolbar. A new message window is opened with the selected messages as attachments.
  3. Complete the message as required.
  4. Click on the Send button to send the message.
