Awareness Training - Targeted Training Details

This article describes how to access and report on the details of Targeted Training campaigns, and is intended for Administrators.
You can view launched Targeted Training campaigns or view and edit Pending campaigns, which are scheduled for future release.

Accessing a Targeted Training Detail

There are two types of status for Targeted Training Campaigns

  • Pending indicates it is scheduled to be sent at a future date.
  • Launched indicates it has already been sent.

There are differences in the details that can be accessed and/or edited, depending on the status.

You can see details for a Targeted Training Campaign by using the following steps:

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training. 
  3. Click on Manage, to the right of the Targeted Training module.
  4. Click on the Targeted Training Campaign.

Launched Targeted Training

If a Targeted Training Campaign has been Launched, it has already been released. The Edit button will be greyed out, but the Delete button will be active, and the campaign can be deleted if desired.

The details that are available if the Campaign Name (in the left-hand column) is clicked allow you to:

  • View the Campaign video.
  • View the Targeted Training Performance Statistics. A percentage value is displayed of the number of Targeted users who have completed the module - Module Completion.
  • View the percentage of correct responses to the employee question - Correct Responses.
  • Review the Question Results, which show the percentage of employees who chose the best answer.
  • View the Company vs. Industry Comparison statistic.
  • View the Email that was sent for the training.
  • View the animated GIF files displayed for correct and incorrect answers to the employee question.
  • Export the campaign's targeted user list. See Exporting the Selected User List.

Pending Targeted Training

A Pending Targeted Training campaign has a future release date. Before the campaign is launched, you can edit the following:

Changing a Pending Targeted Training Launch Date

If a Targeted Training has not launched, you can change its Launch date by using the following steps:

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training.
  3. Select the Targeted Training module with the Pending lesson, and click Manage. 
  4. The Launch Date can be changed from two locations in the Training details.  You can either:  
    • Click on the name of the Pending training (which will show a blue Pending button on the right-hand side) and click the Manage Schedule button, and a calendar is displayed with the current launch date selected. Then, click Next, and the date change will be saved.
    • Click on the Edit button next to the blue Pending button and click in the Launch Date field, which will open a calendar with the current launch date selected. Adjust the schedule and click Update.

Changing a Targeted Training Selected Group

If a Targeted Training campaign is Pending (has not Launched), you can change its selected group by using the following steps:

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training.
  3. Select the Pending Targeted Training module to open the details.
  4. Click on Change Group. A dialog is displayed with the current group selected in a drop-down.
  5. Select a new Selected Group.
  6. Click on Update.

Changing a Pending Targeted Training Introductory Email

You can change the Pending Targeted Training introductory email text sent to users by using the following steps: 

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training.
  3. Select the Pending Targeted Training module and click Manage.
  4. Click on the Pending lesson Name to open the details.
  5. Click on the Customize Email link to view the email, then click on the Edit Email button.
  6.  In the Email Editor, make the changes required.

The email must contain the [platformlink] variable to link to the required module. If this isn't present, you'll be unable to complete this step.

  1. Click on Update.

When editing an email, Reset to Default resets the text to its default state.

Uploading Custom Content

You can upload additional content to form part of a New Targeted Training campaign by using the following steps. 
This requires a PDF file ready to upload, with a maximum file size of 5 MB.

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training.
  3. Click on the Pending Targeted Training module to open the details.
  4. Click Upload Additional Content link in a scheduled Targeted Training.
  5. Click on Upload File.
  6. Drag and drop the PDF into the Upload File dialog. A preview of the content is displayed.
  7. Click on Accept to add the custom content page.

Once the custom content has been added, the following actions are available from the Targeted Training summary:

  • View File: View the custom content file.
  • Delete File: Delete the custom content file.

     

Viewing / Changing Animated GIFs

If a Targeted Training has launched, you can view the animated GIFs displayed once an employee answers the post-tutorial question. If the Targeted Training is pending, you can change the GIFs used.

You can view the animated GIFs on Pending Targeted Training by using the following steps:

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training.
  3. Select the Pending Targeted Training module to open the details.
  4. Click on View in the GIFs section of the Targeted Training summary.

You can view or change the animated GIFs on a campaign that has yet to start, by using the following steps:

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training.
  3. Select the Pending Targeted Training module to open the details.
  4. Click on Edit GIFs in the GIFs section of the Targeted Training summary.
  5. Specify the Image URLs to use for both the correct and incorrect responses.
  6. Click on Update.

Clicking on Reset returns the values of both the correct and incorrect URLs to their default values.

Exporting the Selected User List

You can export the list of selected users from a launched Targeted Training campaign to a Microsoft Excel file. The file can include the custom attributes found in Mimecast Administration Console under Users & Groups | Attributes.

If the Custom Attribute does not appear in Awareness Training settings, verify that the Show in Tables field is set to TRUE in the Attribute details configuration. See Configuring Custom Attributes.

You can filter the attribute columns displayed in the Targeted Training summary, by using the following steps:

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training.
  3. Select the Launched Targeted Training module to open the details.
  4. Select the users in the list in the Targeted Training details.
  5. Click on the gear icon.
  6. Select/deselect the Columns and Custom Attribute Columns to display.
  7. Click on Apply to return to the user list.
  8. You can export the selected user list by clicking on Export Data. A file is downloaded to your browser's download location called training_campaign_details.xls.abc

    The export honors all filters and exports filtered user data.

Previewing Targeted Training

If a Targeted Training campaign is Pending, you can preview it from the end user's perspective. It leads you through all the steps, including any custom content that has been added. Once you have completed all the steps in the lesson, the preview ends, and you are returned to the Targeted Training summary.

You can preview a Targeted Training campaign by using the following steps:

  1. Log in to the Mimecast Awareness Training platform.
  2. Navigate to Training Queues | Targeted Training.
  3. Select the Pending Targeted Training module to open the details.
  4. Click on the Preview User Experience link.
