Simply Migrate - Migrating Microsoft Exchange Data

This article provides steps to migrating Microsoft Exchange data to Mimecast using the Simply Migrate Management.

Prerequisites Before Starting the Migration

  1. Determine the credentials for the account you will use for the migration. This account requires Application Impersonation rights against the Exchange environment.
  2. Ensure the account has a licensed mailbox (any license that includes a mailbox).
  3. Ensure that the account does not have 2-factor authentication enabled.
  4. Obtain a list of SMTP addresses of all the mailboxes part of the migration.
  5. Determine if the users have archive mailboxes and if these archives are to be included in the migration (Applies to Exchange 2010 and above only).
  6. Determine the journal cut-off date.
  7. Get the EWS URL.
  8. Test the credentials against the EWS URL.
  9. Please ensure that the maximum number of threads per job is between 5 and 8.

Job Creation Steps

From the UI, there are two ways to create jobs.

  • The first is upon initial installation. Following the wizard will guide you to selecting the Source.
  • If the product has already been set up and initialized, you must start the job wizard from within the Batches and Jobs view.

Select the Green List icon against the batch you wish to create the jobs and choose Job Creation Wizard from the list as shown here:

You will be greeted with the Source selection. For this article, we will be choosing Exchange. Note that the cog icon appears under your selection, click this to configure your Exchange settings. Shown here:

Once clicked you will be presented with the Source Configuration page, shown here:

  • Enter the credentials you were given here.
  • Once entered, you can click the ‘Aeroplane’ button on the right of the password box to confirm that connection is possible, and this will populate the Exchange EWS URL and Exchange version for you automatically.
    • Click Save.
  • Enter the path to the CSV containing all mailboxes part of the migration, and if a version of Exchange is detected that supports Legal Hold, you will be given the option to include this data.
    • Click Next.

The next page will present you with a list of the mailboxes contained in the CSV file / Exchange environment. As shown here:

In the banner above the Exchange mailboxes list, you will see that you can add a date filter, filter the list of jobs, and handle bad address resolution. Most of the time, you shouldn't need to handle any of these, but you will be prompted about date filters when you click Create Jobs, just to be sure. Filtering the jobs will only change the view you have of the jobs, when you click create jobs, Simply Migrate will attempt to create jobs for ALL items ticked in the, not just the ones visible in the filter.

Clicking Create Jobs will prompt you with some information, and the option to select a Date filter as shown here.

It is worth taking a moment to do a manual check that the number of jobs being created is correct and ensure you don’t require a date filter.

At this point, you need one more click: Create the jobs.

The gears start turning and the jobs start getting created, you will notice a tick is shown in the job status next to all the source files that have been selected.

It is worthy of note here, that if you attempt to create jobs for the same Data/Mailboxes (In the same batch), we have created safety measures to avoid duplication of jobs. You will be shown the original job ID and a No Entry sign indicating that the job has not been created because it already exists.

Congratulations, you have created your Microsoft Exchange source jobs!
