Mimecast Reseller - Managing Users

This article contains information on managing user accounts in the Reseller Portal, including filtering user lists, registering and unregistering users, and editing user details and roles.

The Reseller Portal provides an option to manage the User Maintenance menu item from your account profile icon in the toolbar, you can perform the following actions:

Filtering the User Maintenance List

You can filter the user maintenance list, by using the following steps:

  1. Click on the drop-down menu in the top right-hand corner.
  2. Select one of the following options:
    • All Logins: Lists both registered and unregistered users.
    • Unregistered Users: Lists only unregistered users.
    • Registered Users: Lists only registered users. This is the default option.

Registering a User

You can register an unregistered user, by using the following steps:

  1. Click on the Thumbs Up icon to the right of the user. The Direct Registration dialog is displayed.

  1. Complete the Sign Up For Your New Account section as follows:
Field / Option Description
Username This is automatically completed with the user's email address.
Password Enter a password for the user whilst following the specified password requirements.
Confirm Password Re-enter the password to confirm it is correct.
Security Question Specify a security question and answer. These will be used to identify the user, should they need to change their password.
Security Answer
  1. Click on the Roles to be assigned to the user.
Role Description
Reseller Administrator The user has access to all quotes, prospects, deal registrations, renewals, and the order summary for a given partner. They also have the ability to manage other users.
Reseller Deal Reg This role provides access to the Deal Registration form only. Note that this role should not be combined with an Administrator or a Sales role. The user will not have access to quotes or prospects. 
Reseller Implementation/Technical Contact  This role is the implementation or technical contact.
Reseller Invoicing This role is responsible for invoicing.
Reseller Marketing This role is responsible for marketing-related responsibilities. 
Reseller Renewals This role is responsible for renewals.
Reseller Sales  This role is related to sales. 
Reseller Training This role is responsible for training. 
  1. Click on the Submit button.

Allowing an Unregistered User to Register Online

You can allow unregistered users to register online. There are two methods of doing this, depending on whether you want the user to set their own password and security question.

Registering a User With No Password / Security Question

You can allow an unregistered user to register themselves online, and allow them to set their own password and security question, by using the following steps:

  1. Filter the list by Unregistered Users. See above for full details.
  2. Click on the Envelope icon to the right of the user. The Email Registration dialog is displayed.
  3. Select the Roles to be assigned to the user (see the Registering a User section below). They won't be able to change these.

  1. Click on the Send button. An email is sent to the user with instructions on how to register for the portal.

Registering a User With Password / Security Question

You can allow an unregistered user to register themselves online, but for you to set their password and security question, by using the following steps:

  1. Filter the list by Unregistered Users. See above for full details.
  2. Click on the Thumbs Up icon to the right of the user. The Email Registration dialog is displayed.
  3. Complete the Sign Up For Your New Account section as follows:
Field / Option Description
Username This field is automatically populated with the user's username.
Password Enter a password for the user whilst following the specified password requirements.
Confirm Password Re-enter the user's password to confirm it.
Security Question Enter a security question for the user.
Security Answer

Enter the answer to the security question. This field is not case-sensitive.

Be careful to enter this answer correctly, as an incorrect answer could result in delays resetting their password.

  1. Select the Roles to be assigned to the user (see the Registering a User section above). They won't be able to change these.
  2. Click on the Send button. An email is sent to the user with instructions on how to register for the portal.

Unregistering a User

You can unregister a registered user, by using the following steps:

  1. Click on the Thumbs Down icon to the right of the user. A confirmation dialog is displayed.
  2. Click on the OK button. The user is unregistered, and will no longer have access to the Partner Portal.

Change a Registered User

You can edit a registered user, by using the following steps:

  1. Click on the Edit icon to the right of the user. The user record is displayed.
  2. Change the user's details and roles as required.
Field / Option Description
Username This field is automatically completed with the user's username.
Email This field is automatically completed with the user's email address.
Name Specify the user's full name.
Phone Number Specify the user's phone number.
Default Implementation Lead Select this option if the user is the customer's lead contact for the Mimecast implementation.
Created This field is automatically completed with the date and time on which the user record was created.
Last Logged In This field is automatically completed with the date and time on which the user last logged in to the reseller portal.
User Online

This option shows if the user is currently online.

We recommend you don't change a user's role / permission whilst they are online. If you do, and they are performing a function affected by the role / permission change, they may receive an error when moving to the next screen.

Locked Out This option shows if the user has been locked out of the reseller portal after three unsuccessful attempts at logging in (e.g. three incorrect passwords were entered). You can unlock a locked user by clicking on the Clear Lock button.
LMS Enabled This option indicates if the user has been created in the Mimecast University (LMS). If they're not registered, click on the Create User in LMS button. The next time they login, they'll see the "Mimecast University" option in the University menu.
  1. Select the Roles to be assigned to the user (see the Registering a User section above). They won't be able to change these.
  2. Click on the Save button.
