Archiving - Message Recovery

  • Only Administrators with Protected Content permissions can perform mailbox recoveries.
  • Please thoroughly verify that all details of any intended recipient(s) of restored mailbox or mail items are correct.
  • Mimecast bears no responsibility should the Administrator fail to send the recovered mailbox or mail items to the correct recipient.

This guide will teach Administrators with content view rights responsible for retrieving lost email content how to retrieve messages and restore mailbox data.

With our platform, you can retrieve any message that has been accepted and processed. Messages that we have rejected cannot be retrieved because we have not accepted them. The recovery process may vary depending on the situation and the number of messages to be recovered.

Archive Messages

After indexing, all messages (including internal) move to the archive and are retained for the retention period configured in your account. You can forward messages to an intended recipient from an archive search or export message content in bulk.

Recovering Archive Messages

To recover a message stored in the Archive:

  1. Log in to the Mimecast Administration Console.
  2. Navigate to the Archive | Archive Search menu item.
  3. Fill out the fields as required.

You can search for messages using various combinations of information. See the Searching the Archive page for further details. When the search completes, you receive a list of messages matching your criteria. From here, you can:

  • Select a message or multiple messages using the checkboxes, and click the Forward Selected Items button.
  • Select the top check box to select all messages in the list, and click on the Forward Selected Items menu item.
  • Right-click on any message and click on the Message Forward menu item.

If you don't see the checkboxes or the forward button, your account doesn't have content view rights.

  • Enter the recipient's Email Address.
  • Click the Add Attachment or Remove Attachment buttons to add or remove a file.
  • Click on the Send button. A message contains the original message/s you've selected as individual attachments.

Exporting Bulk Archive Messages

Email messages can be exported in bulk from the Mimecast Archive. The export results can be used to rebuild a user's mailbox by replaying inbound messages into your Microsoft Exchange server database, stored on a storage medium of your choice, or presented to another party, for example, your internal auditors.

To export the full email message content from the archive, start with a Saved Search. Once the Export is created, the list of messages in the search can be exported into a spreadsheet format for review. After that, a Saved Search is required to run an Export of the email into a format, such as PST. Please see Exporting Archived Data for full instructions.

To export the index of messages in the Archive Search or Saved Search result, do the following:

  1. Search the archive for the desired messages. See the Searching the Archive page for full details.
  2. Select the Messages to be exported using the checkboxes to the left of the list.
  3. Click on the Export Data button.
  4. Select the Columns you want to include.
  5. Select a File Format.
  6. Select an Export Option:
  •  
    • Download: Download the file to your desktop.
    • Send Mail: Mail the file to your account email.
  1. Click on the Export button.

Replaying Inbound Messages

You can replay messages to reconstitute mailbox content from Mimecast into a Microsoft Exchange environment (e.g., due to corruption or data loss). Replaying reprocesses and redelivers the selected messages. Therefore you must ensure the messages you are replaying are inbound to your internal users, as any outbound messages selected are redelivered to their intended recipient/s. Mailbox Folder Replication

The Mailbox Folder Replication feature continuously extracts folder and message metadata from Microsoft Exchange mailboxes and submits this to our platform. Once a user's mailbox has been replicated, they can view their archived email in a familiar folder using one of our end-user applications.
