Simply Migrate - Legacy Data Management Processing

This article covers the process after Legacy Archive Data Management data is sent to Mimecast. Once the Legacy Archive Data Management data has been sent to Mimecast, the following steps are completed by the Mimecast team. 

Receive and Prepare

Once the data has been received and the file/folder data has been reviewed, you will be notified. Any issues with the file names, types, groupings, etc. are reported to you for resolution. The data is then transferred to the Legacy Archive Data Management environment and is queued for processing.

Process and Ingest

Once the data is received, it is prepared and queued for processing. The per-user (PU) data process requires the user account to exist before ingesting into it.  Those that don't (e.g., ex-employees) are reported to you as Bad Addresses before they can be imported.  Within each address entry in the report, you must enter the correct address to Ingest the data or specify Create next to each address(es) for which the account needs to be created in the customer's Mimecast system.  Any new accounts created for import do not affect the user licensing of your Mimecast service and are accessed in the same way as current users' accounts.

Legacy Archive Data Management Processing

All standard message types are extracted from PSTs, imported into your archive, and indexed. The data becomes available as it is processed.

Message metadata, including the PST folder path, is recorded by default for every message extracted from PU PSTs only.  This data is used to display messages in their folders for customers who have subscribed to the Folder Sync feature.

Message Retention

Data is retained in the archive for the length of the purchased retention period, based on the Sent Date of the email as found in the message header. Therefore, a message that predates the maximum retention period will not be visible.

The maximum retention setting can be viewed in the Account | Account Settings menu in the Administration Console. Contact your Mimecast representative if you require the retention period to be adjusted.

Complete and Verify

You will be notified once all data on the provided transfer media is ingested and available to users.

This excludes the provided list of inaccessible or corrupt files for you to resolve and re-provide, which will be managed under a separate Legacy Archive Data Management process.

To complete the Legacy Archive Data Management process, you are asked for the following information within ten working days:

  • You, your users, and experienced Mimecast Administrators have verified and are satisfied with the imported data (excluding the reported list of files with errors, if any).
  • If you wish to resolve and re-provide any files with indicated errors (if any).
  • If you plan to provide more data.
  • If you have any queries or issues regarding your imported data.

Sign-off

Once you have reviewed the data, excluding the reported issues, and are satisfied that the data is as expected, or if ten working days have passed, you will be notified that the import is deemed complete.

Should you wish to resolve the issues with the reported files and provide them again to Mimecast, a new Legacy Archive Data Management project will be created. A repeat of this Legacy Archive Data Management process is performed for that data as a new Legacy Archive Data Management project.
