Reporting - PDF Reports

This article contains information on creating and managing PDF Reports in Mimecast, including scheduling weekly or monthly reports, customizing graph selections, emailing reports, downloading locally saved reports, and understanding included graph types.

Mimecast provides reports to assist administrators in managing their internal environment through data load analysis and user efficiency. See Reporting Overview for full details.

The PDF Reports function allows you to schedule reports to be run on either a weekly or monthly schedule and save the output to a PDF file. Additionally, you can select:

  • Whether the report should be emailed or saved locally on Mimecast.
    • Which graphs should be saved/sent.
    • How often these graphs should be run (weekly or monthly).
    • The email addresses where the PDFs should be sent.
  • Administrators with read-only access to the Reporting module will not have access to edit Reporting Schedules.
  • Mimecast currently allows only one weekly or monthly report to be scheduled at a time. 
    If you need to distribute reports to different departments, you will need to either manually distribute the reports, or include all recipients in a single Reporting Schedule.

Creating PDF Reports

To schedule reports:

  1. Log on to the Mimecast Administration Console.
  2. Click on the Reporting | PDF Reports menu item. The PDF Report Schedule dialog is displayed with the Weekly Report section expanded.
  3. Select whether you want to schedule a Weekly Report or Monthly Report by clicking on the icon to the left of the relevant section header.

  4. Expand the Select Report Type section and complete as follows: 

    Field / Option Description
    Standard Report

    This includes a selection of default reports (e.g., Total Email Volume, Message Rejection Overview). To view the reports included in the standard report, expand the Select Graphs group.

    If you need to change these values, you must use the Custom Selection of Graphs option.

    Custom Selection of Graphs If selected, the Select Graphs field is displayed to allow you to select the graph types to be included in the report. See the Graph Types section below for further details.
    Select Graphs Select the graph types to be included in the report. This includes the selection of Custom Reports that were created by using the Custom Report Definitions option.
  5. Expand the Email Schedule section and complete as follows:

    Field / Option Description
    Do Not Send Report The report is not emailed to recipients. Instead, it's saved locally inside Mimecast and can be downloaded using the Download PDF Reports button in the toolbar. See the Downloading PDF Reports section below for further information.
    Send Report The report is emailed to one or more recipients. Selecting this option displays the Report Recipients section, allowing you to specify the recipients.
    Report Recipients Click the Lookup button to add the email addresses of the recipients. This displays the Address Lookup page, where you can add an address by clicking on the Select link to the left of the address.   6. Click the Save button.

If the Custom Selection of Graphs report type option is selected, you can decide which graphs are included in the PDF report. The full list of graph types is listed below, together with an indication of the reports included as part of the Standard report type.

Account Assessment

To run an Account Assessment:

  1. Log on to the Mimecast Administration Console.
  2. Click on the Reporting | PDF Reports menu item. The PDF Report Schedule dialog is displayed with the Weekly Report section expanded.
  3. Click on the Account Assessment button.
  4. Select whether you want to schedule a Weekly Report or Monthly Report by clicking on the icon to the left of the relevant section header.
  5. Expand the Email Schedule section and complete as follows: 

    Field / Option Description
    Do Not Send Report The report is not emailed to recipients. Instead, it's saved locally inside Mimecast and can be downloaded using the Download PDF Reports button in the toolbar. See the Downloading PDF Reports section below for further information.
    Send Report The report is emailed to one or more recipients; selecting this option displays the Report Recipients section, allowing you to specify the recipients.
    Report Recipients Click the Lookup button to add the email addresses of the recipients. This displays the Address Lookup page, where you can add an address by clicking on the Select link to the left of the address.   6. Click on the Save button.

Downloading PDF Reports

To access locally saved PDF reports:

  1. Click on the Download PDF Reports toolbar button. A list of all reports is displayed, including those that have been saved locally and those that have been emailed. Information regarding the report start/end dates, generation date, report interval, and report type is displayed.

  2. Click the Download PDF button in the Action column.

  3. Specify a Location for the download.
  4. Click the Save button. The PDF is downloaded to your specified location.

To filter the list of reports displayed, click on the View PDF Reports menu item in the toolbar, and select the relevant option to show only monthly, weekly, or all reports.
