eDiscovery - Archive Administration Guide

This article contains information on accessing and managing email archives in eDiscovery cases, including search, compliance review, litigation holds, and retention adjustments within the Mimecast Administration Console.

The administrators with sufficient permissions can view the metadata and transmission information for each email, as well as the content of the email data within the Archives. In an eDiscovery Case, emails and files can be grouped for further processing. All search and message viewing actions are logged, and messages can also be exported or purged from the archive.

How to Access the Archive:

  1. Log in to the Mimecast Administration Console.
  2. Click on the Archive menu item. The following menu items are displayed:
    • Archive Search: Allows you to search for archived messages to review receipt and delivery information.
    • Compliance Review: Create and manage compliance review streams and review data against regulatory and internal organizational compliance policies.
    • Discovery Cases: Allows you to create a collection of archive searches associated with a single case, which can be assigned to a Litigation Hold, Retention Adjustment, or Smart Folder.
    • Exports and Updates: Allows you to review the status, progress, and other details of all requests to export archived messages using a Saved Archive Search.
    • Litigation Holds: This allows you to place a Discovery Case on Litigation Hold. This prevents any Retention Adjustments or policies from being applied until the Litigation Hold expires.
    • Retention Adjustments: Allows you to purge messages and modify the Retention Period of archived messages grouped together in a Discovery Case.
    • Saved Searches: Allows you to search the archive and retain the search's parameters for future use.
    • Search Logs: Displays a list of all archive searches performed.
    • Smart Tags: This allows you to create and manage smart tags to allow specified users access to messages with those tags applied.
    • Supervision Lexicon Rules: Monitor mailboxes for non-compliant content and assign flagged message to reviewers.
    • View Logs: Displays a list of all messages (both content and metadata) that have been viewed by an administrator.
    • Case Review: Search securely and compartmentalize data for investigations.
    • Ingestion Management: Securely manage end to end data migration to Mimecast Cloud Archive.
    • Reviewer: Review data to determine if it is relevant or non-relevant to a Discovery Case.
    • Supervision Queue: Allow dedicated users to review messages for non-compliance.
