Aware - Implement a Retention Policy

A Retention Policy is an essential instrument for managing the lifecycle of your organization's content, particularly if you or your legal team are contemplating the implementation of such a policy on platforms like Meta, Slack, or Microsoft Viva Engage.

This application is designed to ensure your organization's compliance with various regulations. It effectively manages the retention and deletion of content, striking a balance between data preservation and data disposal.

By using our Retention application, you can maintain control over your data, reduce risks associated with non-compliance, and streamline your content management processes.

 

Creating and Implementing a Retention Policy

The process of setting up a Retention Policy involves the following steps:

  1. Navigate to the Retention application.
  2. Click Create a Retention Policy.
  3. Choose the desired Content Platform (you are required to have different policies for Microsoft Viva Engage, Slack, and Meta).
  4. Select Policy Type
    • Aware + Content Platform: Content will be deleted from both the Aware platform and Content platform.
    • Aware Only: Content will only be deleted from the Aware platform.
  1. Select Policy Scope
    • One Rule for All Source Types: This option will set one retention boundary for all content within Microsoft Viva Engage, Slack or Meta, including public and private content.
    • Create Unique Policy Rules: This allows you to apply and define different retention periods for different types of content, private, public, or 1:1 chat.
  1. Set the number of days for your Retention Period.
  2. Optionally, you can set specific Group/Channel exceptions to your retention policy. This Group/Channel will have its own retention period. Ending an exception releases the group back into existing retention periods.
  3. Review your selections and Create Policy.
