Aware - Create a Policy and Rule

This article provides information on creating your first Policy and Rule in Aware Signal, including the differences between Policies and Rules, step-by-step instructions for setup, and guidance on defining Rule behaviors, audience, and triggers.

Difference Between a Policy and a Rule:

  • Policy: A policy organizes similar themed rules and typically has a broad name, such as "Personally Identifiable Information" or "Sensitive/Confidential Content".
  • Rule: A Rule is more specific and should clearly define what type of content you are trying to discover. An example Rule name is "Customer Address" or "Confidential Meeting Notes".

When you're ready, follow these simple steps to get started:

  1. Navigate to Signal.
  2. Select the orange Create a Policy button.
  3. Name your Policy and select Create Policy.
  4. Once you have named the Policy, select the Create Rule button.
  5. You are now in the Rule creation workflow. Name the Rule and follow the next steps in the Rule Scope.
  6. Define the Rule Behavior Type . You can use the tooltips below each Behavior type for additional guidance.

Selecting Advance Options will allow you to save content generated by events within Aware, regardless of Retention policies or User Data Removal requests.

  7. Define a Rule Audience, starting with defining the Content Platform and where the Rule will look for matching content.
    • Content Platform: Your integrated platform(s) will show here.
    • Aware currently integrates with Microsoft Viva Engage, Teams, Meta, and Slack.
  1. Choose your Global Sources. You can think of Global Source Type as the person who can see the content.

  2. Choose Users , which allows you to include or exclude an individual from the Rule. (You will need to know the individuals' email addresses to complete this action).

  3. If Azure AD is integrated, you will use the dropdown to include/exclude AAD groups. (Integration is required by an O365 Global Administrator).

  4. Choose yourContent Author Type. You can think of Content Author Type as the author of the content.

To move on to the next step in Rule creation, select Choose Triggers. Click here to learn more about Rule Triggers.

Content Platform: Your integrated platform(s) will show here. Aware integrates with Microsoft Viva Engage, Teams, Meta, and Slack.

Next to your integrated Content Platform, you can choose what is included by expanding the section. Here, you can select Sources and Groups to include or exclude. This will help to reduce false positives by narrowing the content scope.
