Aware - How to Execute a Search

This article contains a video which provides a step-by-step guide on how to create a search using Aware's Search and Discover module.

The following provides key points of the process:

  1. Start a New Search: Click on Create a new Search and provide a description that reflects the purpose of your search.
  2. Choose Search Type: Select the type of search you want to conduct. The options include:
  • User: This allows you to search conversations authored by a specified user or users.
  • Platform Group: This enables you to search for conversations within a group, community, or channel.
  • Keyword Search: This allows you to search through all messages types and locations by keyword and Direct Message (DM) conversations.
  • DM Conversations: This search type allows you to search for Direct Message conversations involving specified users or including specified users.
  1. Include Keywords: This allows you to search though all message types and locations by keyword and Direct Message (DM) conversations.
  2. Fill in Required Fields: Complete the rest of the required fields of your search. These will vary based on the search type you chose. For instance, a user search would require an email address.
  3. Add Keywords: If appropriate, add any keywords that you want to search for specifically within your search. Ensure that your keywords are entered as intended (for example, checking for spelling, spacing, or use of operators) so matching items are included in your results.
  4. Mark the Files Checkbox: If keywords are searched, you can check the Mark the Files checkbox if you wish to scan any files for a defined keyword.
  5. Define Search Range: You can search all data or within a custom time frame. this helps refine search results to only relevant data and speeds up processing time.
  6. Choose AI Analysis: Select appropriate analysis options These provide more filtering options when you review your results using Aware's machine learning and natural language processing technology.
  7. Start the Search: Click Start Search to begin processing your search.

Troubleshooting missing items: If some messages or emails that you expect to see are not appearing in your search results, confirm that the correct Data Access Set (DAS) is selected and that your keywords are configured correctly. Also note that searches may take time to fully process—depending on data volume, search results can take up to 24 hours to complete, so recently added or modified data might not appear immediately.
