Aware - User Data Removal

This module, also known as I'm Too Aware, is a crucial tool for managing individual content deletion within a content platform and the Aware archive. This module is particularly important for ensuring compliance with regulations such as GDPR and for managing data during employee transitions.

 

 

The following provides an overview of the key features of User Data Removal:

 

  1. Purpose of User Data Removal:
    • The module allows for the deletion of an individual's content, which can be necessary in cases of termination, resignation, or to meet GDPR compliance requirements.
  1. Permanent Action:
    • It's important to note that any action taken through this module is permanent and cannot be undone, emphasizing the need for careful consideration before proceeding.
  1. Navigating to the Module:
    • To begin, users should navigate to the User Data Removal tab located on the left-hand side of the interface.
  1. Creating a New Request:
    • Users can create a new data removal request by selecting the New Request button in the top right corner.
    • This process requires entering the employee's email address whose data is to be removed.
  1. Data Hold Consideration:
    • Users must verify that the employee is not on a data hold, as this will prevent the removal request from being processed. This step is crucial to ensure compliance and data integrity.
  1. Selecting Data for Deletion:
    • Ensure that the Delete User Data option is selected.
    • Choose the content platform and content sources from which you wish to delete the individual's content by toggling the relevant options on or off.
  1. Submitting a Request:
    • Once all selections are made, users can proceed to submit the request.
    • The request will then appear in the main menu of the User Data Removal tab for tracking purposes.
  1. Tracking and Historical View:
    • After processing, users will have access to a historic view of all previous user date removals, enabling better management and oversight of data handling practices.
