This article contains information on Backup & Recovery retention settings, pooled storage behavior, point‑in‑time mailbox views, storage visibility limits, and planning guidance for managing retention and storage efficiently.
Retention
Retention is a policy-level setting, fully decoupled from any other Mimecast product's Retention configuration. It can be set anywhere from a minimum of 1 month to a maximum of 99 years, independently for each policy.
Mailbox Backup & Recovery customers
Retention for Mailbox Backup & Recovery is configurable up to a maximum of 1 year for Plan customers.
Storage: Pooled, Not Per-Mailbox
Storage in Backup & Recovery is pooled at the tenant level, not allocated per mailbox. Every licensed seat contributes 50 GB to a single tenant-wide pool.
Example: A 100-seat tenant has a total pool of 5,000 GB. Any individual mailbox can consume more or less than its notional 50 GB share, as long as the Backup & Recovery - Configuration tenant consumption stays within the pooled limit.

Storage Visibility
Per-customer storage consumption tracking is not yet exposed in the admin dashboard. This visibility is planned for a later release. In the interim, if a specific storage figure is needed, it must be requested through Support rather than from the UI.
Planning Guidance
As storage is pooled tenant-wide, the recommendation is to set a shorter-retention baseline policy for most users, and reserve longer retention for a smaller, well-defined group; executives or legal hold candidates, for example. This keeps overall consumption predictable while still covering backup needs for the users who actually require longer retention.
