Mimecast Personal Portal - Managed Senders

This article outlines how to manage senders within the Mimecast Personal Portal, including blocking, permitting, and trusting senders, reporting spam or phishing, and removing entries from sender lists.

Managed Senders 

The information below is a guide on how end users can manage their Personal Blocked Senders, Permitted Senders, Auto Permitted, and Trusted entries.
The Managed Senders view allows you to:

  • Search and filter entries.
  • Add new entries.
  • Delete existing entries.

Usage Example

Managed Senders can be used to block entire domains, yet allow specific users from the same domain name. For example, a user can add domain.com to their Personal Blocked Sender list, but then add user1@domain.com and user2@domain.com to their Permitted Sender list. In this scenario, the permitted list overrides the blocked list, and users 1 and 2 will be able to email the user while user3@domain.com and others will not.

The Managed Senders view is accessed via the Advanced tab in the left hand menu.

To block a sending email address, you can do this by navigating to a message received by the address you would like to blocked, or by adding the address to your Blocked Senders list. 

Block a Sender's Address / Domain

You can block a sender's address or domain, by using the following steps:

  1. Select one or more messages.
  2. Select the Block drop-down.

Adding a Blocked / Permitted / Trusted Sender

You can add an address to your Blocked, Permitted, or Trusted Sender list, by using the following steps:

  1. Click on the BlockedPermitted, or Trusted menu item.
  2. Enter one or more Addresses and/or Domains into the box.
  •  
    • Multiple addresses / domains must be separated with a space (e.g. usera@domain1.com domain2.co.uk).
    • Adding multiple entries is only permitted on the blocked or permitted sender lists.
  1. Click on the Add button.
  2. Click on the OK button.

Report Spam or Phishing

You can report a message as spam or phishing, by using the following steps:

  1. Select a Message.
  2. Select Report.

  1. Click Report in the confirmation pop-up to report the email as spam or phishing.

This section describes how to report spam or phishing to the Mimecast Security Team. Note that blocking a message and reporting as spam or phishing are different. Blocking sender's address or domain adds the sender's address or domain to your personal blocked senders list, however, if you suspect an email could contain spam / phishing elements, you would need to Report this message. Reporting a message automatically triggers the following actions:.

  • The sender of the message is added to your Blocked Senders list.
  • The message is forwarded to the Mimecast Security Team for analysis.
  • No notification is sent to the sender, if a message is blocked or reported for spam / phishing.
  • Administrators can trace reports from the Mimecast Administration Console, under Audit Logs. See Filtering Audit Logs for more information.

Removing an Entry From Your Blocked, Permitted, or Trusted Senders List

You can remove an address from your Blocked, Permitted, or Trusted Sender list, by using the following steps:

  1. Click either the BlockedPermittedAuto Permitted, or Trusted menu item.
  2. Click on the Address to be removed.
  3. Click on the Remove button.
