Accessing the Email Templates
You can access the Email Templates, by using the following steps:
- Log in to Mimecast Awareness Training platform.
- Navigate to Settings | Email Templates.
Assignment Notification Template
When a Company Wide Training Module is assigned to one of your end users in the organization, the end user receives a notification containing the URL link to the module. The user clicks on the URL to access the module.
Weekly Reminder Email
If a user hasn’t watched an assigned module, they receive weekly notifications until they action the module. If the module is not acted upon after the fourth week, they are placed on the Watchlist.
Users who complete an assigned module are removed from the Watchlist.
- You can click on View / Edit email to view the email template, click on Edit Email to amend as required, then click on Update to save your changes.
- You can click on Disable Weekly Reminders to disable weekly reminders, and Enable Weekly Reminders to enable them.
New User Notification Email
Mimecast Awareness Training also has a New User Notification Email. When first-time users join the organization, to catch up with other end-users, they will receive a notification telling them how many modules they need to complete and providing the URL link.
- You can click on View / Edit email to view the email template, click on Edit Email to amend as required, then click on Update to save your changes.
Comments
“Users have four weeks to complete the training module, then they are placed on the Watchlist.”
Why customers unable to edit this text?
Hi Charlie
Thank you for sharing your comment with us.
The reason the text you mentioned cannot be edited is due to the functionality of the platform. The training period is designed to be completed within four weeks before users are placed on the watchlist. This approach helps inform users about the behavior of the AT platform. However, you are welcome to submit a change request, which will be reviewed for potential consideration in future updates by the product team. I hope this response is helpful.
Each company has different way of approach to awareness training and they take action depending on the requirements, so I think it makes sense this text to be editable, just like how we can edit individual texts if we go to awareness videos and edit email template.
If we had an option by default to choose the dates, this could be faster solution for us, as currently we are individually editing the email templates and it is a time consuming task for us.
If my feedback can be raised with the relevant team that would be amazing.
Hi Charlie,
Thank you for your comment.
We have taken your recent comment seriously and escalated it to the relevant Product Team. They have provided the following statement in response:
"They’re unable to edit the text because the due date for training assignments is hard-coded at 4 weeks.
Revamping training campaigns to allow admins to set a due date of their choosing is something we have in the backlog."
I hope this answers your questions.
Thank you.
