This page describes the Large File Send feature in the Mimecast Personal Portal, including securely sending, receiving, and managing large file attachments, setting preferences, and utilizing document services for file conversion and security.
Accessing attachments sent via Large File Send is achieved via the Large File Send portal, where the recipient is sent a notification of the attachment and a link to log into the portal. Users can then download their attachments from the portal, and depending on their permissions, can upload their own large files to be shared securely between sender and recipient.
While using the Mimecast Personal Portal, users can perform the following tasks:
- Securely download attachments.
- Securely upload attachments.
- Compose an email message to accompany secure uploads.
- Set a preferred date and time format.
Mimecast Personal Portal
Users have access to the following features in the Mimecast Personal Portal:
- Securely upload and send attachments.
- Manage the expire access to received attachments.
- Set Large File Send preferences to:
- Be notified when the files are accessed.
- Receive a link to the files.
- Invite recipients to send large files in return.
- Use an access key for additional file security.
Large File Send Attachments
The information below explains how to use the Large File Send Manager feature in Mimecast Personal Portal to manage Large File Send attachments you have sent.
The Large File Send Manager allows you to:
- Extend or expire access to attachments you have sent.
- Resubmit a Large File Send attachment.
- Cancel an upload of a Large File.
You can access the Large File Send Manager feature by using the following steps:
- Select the Large File Send icon from the left-hand menu.
- Select Large File Send Manager.
Managing the Expiry of Large File Send Messages
The Large Files Manager allows you to perform the following actions:
- Monitor the download count of an attachment.
- Extend an active or expired Large File Send message.
- Expire an active Large File Send message.
The list can be filtered by:
- Typing a search term in the search field.
- Using the drop-down menu and selecting the expiry status.
You can manage message expiry, by using the following steps:
- Select either Set Expiry or Expire for the relevant message.
- Select OK.
You can use Expire access after: to extend the expiry date up to a maximum of 90 days.
Sending Attachments using Large File Send
This information below explains how to use the Mimecast Personal Portal to send email attachments safely and securely with the Large File Send feature.
You can use Large File Send from the Mimecast Personal Portal, by using the following steps:
- Click on Compose to Compose a new message.
- Add the recipient, subject, and body to the message.
- Select Attach to add a file to the message.
- Select the Large File Send icon. You will be presented with the Large File Send Preferences dialog.
- Proceed to send with default settings set by your Administrator, or amend the available settings to suit your needs.
Your administrator may have enforced some or all of these settings, which will mean you cannot override them yourself.
- Click on OK.
- Click on Send to send the message using Large File Send.
The Compose feature does not support the inclusion of inline, or embedded images in email. Any inline images included will show within the Mimecast Personal Portal environment, but will not display when messages are sent outside of Mimecast.
Requesting and Receiving Attachments via Large File Send
The information below explains how to use the Mimecast Personal Portal to request and receive large email attachments safely and securely with the Large File Receive feature.
Requesting Large Files
You can request large files from other users via the Mimecast Personal Portal, by using the following steps:
- Click on Compose to Compose a message.
- Add the recipient, subject, and body to the message.
- Click on the Large File Receive icon. The Large File Receive Preferences dialog displays.
- Proceed to send with default settings set by your Administrator, or amend the available settings to suit your needs.
Your administrator may have enforced some or all of these settings, meaning you cannot override them.
- Click on OK.
- Click on Send. An invitation to share files using Large File Send will be sent to recipient/s.
- You will receive an email to confirm that your invitation was sent.
The Compose feature does not support the inclusion of inline, or embedded images in email. Any inline images included will be visible in the Mimecast Personal Portal environment, but will not display when messages are sent outside of Mimecast.
Large File Receive Invitations
Recipients can send a file up to 2GB once with the invitation, until the set expiration date.
The Large File Receive invitation message is sent to the recipient's Mimecast Personal Portal inbox, containing instructions in an attachment.
To return the Large File Receive invitation and send the attachment:
- Click on the View link in the attachment.
- Click on either the Download or View link. A page displays with details of the request.
- Click on the Upload Files button. You're redirected to the Large File Send portal.
- Click on the Add Files button and select the requested files.
- Optionally add a message.
- Click on the Send button. A confirmation message displays.
Receiving Large Files
The files will be available in the Large File Send portal until the set expiration date.
You can receive Large File attachments via the Mimecast Personal Portal, by using the following steps:
- Open the Large File Send message sent to your inbox.
- Click on the View link in the attachment.
- Click on either the Download or View link. A page displays with details of the attachment.
- Click on the Download Files button. You're redirected to the Large File Send Portal.
- Click on either the:

- Download button to download individual files.
- Download All button to download all files.
Document Services
If your administrator has configured a Document Services Definition and Policy, you can apply a document conversion profile to a message. This allows you to perform various actions on the message including:
- Converting documents to other file formats.
- Replace all attachments over 1 MB from a message, and replace it with a notification. This is sent to the recipient, and contains a link they can use to download the attachment from Mimecast. Stripping revision information from documents, including:
- Document properties
- Author credentials
- Tracked changes
- Comments
- Microsoft Visual Basic for Applications macros.
Document Conversion
The Document Conversion menu provides two default options, as well as any Document Services policies your administrator has made available. You can access these by using the following steps:
- Compose a message.
- Select the Document Conversion icon.
- Select the Document Services Policy you want to apply to the message. The following default options are provided:

- Default Policy: The Document Services policy set as default by your administrator is applied.
- No Conversion: No Document Services policies are applied to the message.
Attachment Strip and Link
When applied, Mimecast removes any attachment over 1MB, and instead sends the recipient a notification with a link to download the attachment. You can access this by using the following steps:
- Compose a message.
- Select the Strip & Link Attachments icon.
