Case Review - Managing Review Sets

This guide describes managing your Review Sets in Case Review, including how to:

The maximum number of messages that can be added to a Review Set is 500,000.

Creating a Review Set

The maximum number of Review Sets that can be created in a Case is 200. Once created, Review Sets are automatically placed on legal hold.

You can create a Review Set, by using the following steps:

  1. Click on Cases in the navigation panel.
  2. Click on the required Case. See the Case Review - Managing Cases page for details on finding the correct case.
  3. Click on the Add Review Set button.
  4. Complete the dialog:
Field / Option Description
Name Enter a name to identify the review set.
Description Enter a review set description.
Reviewers Specify the reviewers that can access the review set by doing the following:
  1. Click on the Select Reviewers button.
  2. Select the required Reviewers.
  3. Click on the Confirm button.
Labels To add custom labels that can be used to categorize data within a review set:
  1. Click on the Add Labels button. 
  2. Enter a name for the Label.
  3. Click on the Color dropdown. 
  4. Select a color for the label. 
  5. Click on the Add Label button.
  6. Repeat as required. 
  7. When all desired labels are created, click Apply.  
  1. Click on the Add New Review Set button.

Once created, Review Sets are automatically placed on legal hold.

Deleting a Review Set

The maximum number of review sets that can be deleted is 50.

You can deleteReview Set, by using the following steps:

  1. Click on Cases in the navigation panel.
  2. Click on the required Case.
  3. Tick the box on the required Review Set.
  4. Click on the Delete button. A pop-out panel appears requesting you to review the terms of the deletion.
  1. Tick the I Agree box.
  2. Click on the Delete button. A pop-out message appears confirming your deletion.

Items in the main index can still be expired outside the separate review set index but cannot be purged until the review set is deleted.

Accessing a Review Set

You can access a Review Set, by using the following steps:

  1. Click on Cases in the navigation panel.
  2. Click on the required Case. See the Case Review - Managing Cases page for details on finding the correct case.
  3. Select the Review Set you wish to access.
  4. Click View.

This Review Set displays the following tabs:

  • Pending: Lists all messages that have yet to be reviewed.
  • Relevant: Lists all messages reviewed and marked as relevant to the Case Review.
  • Not Relevant: Lists all messages reviewed and marked as irrelevant to the Case Review.
  • Privileged: Lists all messages reviewed and marked as potentially privileged communication. They must be held separately to be reviewed by another reviewer or outside counsel.
  • Details: Displays the review set's details.
  • Exports: Lists all exports performed against the review set.

Searching for Messages

You can search for messages included in a review set. See the Case Review - Archive Search page for further details on how to do this.

Reviewing Messages

You can mark and move messages from a review list into one of the four review set categories, by using the following steps:

  1. Click Cases in the left side-panel.
  2. Select the case you wish to view.
  3. Select the tick box alongside the case.
  4. Click View.

  1. Select the tick box alongside the message(s).
  2. Click on the Relevant, Not Relevant, or Privileged tab to mark or move the message(s). A pop-up confirmation will appear.

Custom Labels

Adding Labels

  1. Select the tick box to the left of the required messages.
  2. Click Labels.
  3. Select the tick box alongside the label(s) from the side-panel pop-out and click Apply.

Editing Labels

  1. Click on the Details tab. 
  2. Click on the Manage Labels button.
  3. Edit the labels as required. 
  4. Click Add Label | Apply
  5. Click on the Update button.

Deleting Labels

  1. First, click on the Details tab. 
  2. Next, click on the Manage Labels button.
  3. Click on the Delete button.

Forwarding a Message

You can forward a message to another recipient, by using the following steps.
This creates a new email with the forwarded message added as an attachment. Currently, only one message can be forwarded at a time. 

  1. Click to open the message
  2. Next, click on the ellipses (...) icon.
  3. Select the Forward menu item.

  1. Complete the Forward dialog:
    Field / Option Description
    To Specify the email addresses of the required recipients separated by commas.
    Subject Specify a subject for the email. By default, this is the subject of the forwarded message prefixed by "FWD CR:"
    Notes Add a note (e.g., explaining why you are forwarding it).
  2. Click Send.

The forwarding option is used when you want a copy of the email shared with other users.

Printing a Message

You can print a message, by using the following steps.
Currently, only one message can be printed at a time. 

  1. Click to open the message
  2. Next, click on the ellipses (...) icon.
  3. Select the Print menu item.
  4. Complete the Print dialog as required.
  5. Finally, click on the Print button.

Listing a Case's Exported Review Set Messages

You can list the exports performed from a review case, by using the following steps.

  1. Click on the Exports menu item. The list displays each export's status:

    • Building: This signifies that you've more than one search added to the review set. At least one search has added messages to the review set, but because all searches haven't been completed, there are more to come.
    • Ready: All searches added to the review set have been completed.
    • Canceled: Searches added to the review set have been canceled.
