In addition to email security, instant messages are rapidly becoming the primary source of business communications. Unfortunately, instant messages are susceptible to emerging threats, and new measures must be implemented to better defend against them. This guide describes how Administrators can configure a task to archive and index Instant Messages from Microsoft Teams.
This functionality is available by default to users with Super Admin, Full Admin, and Discovery Officer privileges.
Benefits
The Microsoft Teams IM functionality has the following benefits:
- There is an additional layer of security by having Mimecast sync and store the data (including the routine scanning of attachments).
- Allows users to search for email and teams in one place.
- The IM conversations are saved in their native format instead of as an email attachment.
- Reduces the risk of eavesdropping, interception, and alteration of messages as they are sent in real-time across the internet.
Prerequisites

The Cloud Archiving for MS Teams package must be enabled in the organization's Mimecast account to utilize the available functionality
An active subscription for Microsoft Teams is required. There are several Microsoft 365 subscriptions that provide MS Teams, including:
- Small business plans: Microsoft 365 Business Basic, Standard, and Premium
- Enterprise plans: Microsoft 365 E1, E3, E5 and F3; Microsoft 365 E3, E5, F1, and F3
- Education plans: Microsoft 365 A3 and A5; Microsoft 365 A1, A3, and A5
To search for messages in Case Review, you will also need to have the following enabled:
- Mimecast Cloud Archive for Email
- Case Review
Configuration
You can create an IM Sync Task, by using the following steps:
- Log in to Mimecast Administration Console.
- Navigate to Archive | IM Sync.
- Click Create Task and enter a Name, Description, and IM Source, and click Next.
- Select a connector and click Next.
- Click Create IM Sync Task.
Mimecast does not store your Microsoft 365 credentials.
- Click on the Next button.
- Review the Summary page to ensure all details are correct.
- Click on the Save Task button.
Once created, Mimecast saves the Tenant ID that Microsoft provides. This ID is used each time Mimecast contacts Microsoft to retrieve all of the available Microsoft Teams data. The initial sync retrieves the last 15 days of data, and a daily sync is run after that.
Viewing Messages
Once you have configured an IM task and the data has been archived, your messages are available for viewing in Case Review. To view your messages:
- Log in to Mimecast Administration Console.
- Navigate to Archive | Case Review.
- Click on the Archive Search menu item.
- In the Search columns, change the Message Type to Microsoft Teams.
- Optionally complete the relevant search fields.
- Finally, click on the Search button.
